Data Deletion Request

You have the right to request deletion of personal data that Olli AI holds about you. This page explains how to make that request, what happens after you submit it, and how long the process takes. We comply with all valid deletion requests within 30 days, in line with our Privacy Policy.
1. Whose data this covers
You can request deletion of your personal data if you are:
- An end user who submitted a lead form, sent a message, called, or otherwise interacted with a clinic that uses Olli AIon Facebook, Instagram, WhatsApp, Google, or via the clinic's website.
- A staff member or administrator of a clinic that uses Olli AI and has an account on our platform.
- A user who connected a Facebook Page, Instagram Business account, or WhatsApp Business account to Olli AI via OAuth.
2. How to submit a deletion request
You have three options. Use whichever is most convenient:
Option A — Online form (recommended)
Submit a structured request and receive a confirmation code you can use to track its status:

The form asks for your email or phone number so we can locate your records. No login required.
Option B — Email
Send an email to support@getolliai.com with the subject line "Data Deletion Request" and include:
- The email address or phone number you used.
- The clinic name (or Facebook Page / Instagram handle / WhatsApp number) you interacted with, if you remember it.
- Approximate date of your interaction (helps us locate records faster).
Option C — From inside Olli AI
If you have an Olli AI staff account, go to Settings → Account → Delete Account. This removes your account and triggers deletion of personal data associated with it.
3. What happens next
- We email you a confirmation with a tracking code within 2 business days.
- We verify your identity (we may ask for additional information if the request comes from a generic email).
- Within 30 days we delete the personal data we hold about you across our production database, backups, and log archives — including:
- Lead and contact records, including data captured from Meta Lead Ads or Google Lead Forms.
- Conversation history from Messenger, Instagram Direct, and WhatsApp Business.
- Comments and replies you made on a clinic's social pages, where stored on our platform.
- Voice call transcripts and recordings, where applicable.
- We send a final confirmation email when deletion is complete. You can also check status anytime using your tracking code at app.getolliai.com/data-deletion.
4. What we may retain
In limited cases we may retain certain records even after a deletion request, only as required by law or legitimate business needs:
- Financial transactions (invoices, payments) — retained as required by tax and accounting regulations, typically up to 7 years.
- Audit and security logs — retained in redacted form (without your identifying details) for fraud prevention and incident investigation.
- Anonymized analytics — aggregate counts and metrics that no longer identify you may continue to inform product improvements.

5. Data on third-party platforms
When you interact with a clinic through Meta (Facebook, Instagram, WhatsApp Business), Google, or a telephony provider, those platforms also keep their own copies of your data under their respective privacy policies. Olli AI can only delete the copies stored on our infrastructure. To delete data held by Meta or Google, please use their respective deletion tools:
